Demystifying Global Permissions: Mastering Access Control
Access control is a critical aspect of any robust system. In this Feature Friday video, we'll explore global permissions and how to set them up effectively. Global permissions allow you to grant access to specific resources or actions throughout an entire system. Let's dive in and review the steps in Kion.
Create a New Role
The first step is to create a new role with the desired global permissions. Here's how:
- Go to Settings and select Permissions.
- Name and create a new role.
Edit the Global Permission Scheme
Next, we need to edit the Global Permission Scheme to assign permissions to our newly created role. Follow these steps:
- Navigate to the permission schemes, specifically the Global Permission Scheme related to the data you want to control.
- Click Edit.
Assign Permissions
Now, let's assign the necessary permissions to our financial role. For our example, we want users in the Financial Role to have three specific permissions:
- Manage Funding Sources: This permission is crucial, so select it and associate it with the Financial Role.
- Browse Billing Sources: Again, add this permission to the Financial Role.
- Browse All Reports: Ensure that users in the Financial Role can access all reports by adding this permission.
Save these changes.
Apply Permissions to Users
Now that you've configured your financial role with the necessary global permissions, it's time to apply them to users. Here's how:
- Go to Global Permissions and select your Financial Role.
- Choose the users you want to grant these permissions to.
Test the Permissions
With the global permissions applied to the user, it's time to test it out:
- Log out of your current session.
- Reauthenticate as the user with the Financial Role.
- After logging in, you'll notice that on the left navigation, you have access to reporting and financials. Explore the functionalities, such as viewing funding sources and spend reports, to ensure that the global permissions are working as intended.
Understanding and effectively configuring global permissions is essential for maintaining access control and security in your system. By following these steps, you can confidently manage access to critical resources and actions.
